A project which aims to reduce the time spent in and preparing for meetings, with better outcomes achieved for all attendees.

The group involved in this workshop mapped out the number of corporate meetings that taker place, their length, the number of attendees, the papers and reports required for each and how much time these take up, the time taken to write up minutes after each meeting, and the decision making process of each meeting too. All this information was gathered in order to establish how consistent and effective the meeting are at every stage, with a view to making improvements.

Many people were able to input their experiences, which showed that there were often lengthy email chains, many reports written and rewritten taking time and energy, some work was called for at the very last minute causing stress for some staff, and often actions weren't followed up in a timely way or decisions made effectively.

There are many opportunities to make changes and improvements, and the group were enthusiastic about making large scale change for long term benefit, as well as quick wins. Plans for a new agenda pathway to standardise and improve meetings has been developed, along with new report guidance and plans for videos that will support and educate colleagues around the Trust.
